How to manually fetch your AthenaOne schedule from your dashboard using "Refresh Schedule".

Overview

The "Refresh Schedule" button in Athena allows you to pull in any new or updated appointment information since the last time your schedule was synchronized. This includes recent changes, such as new appointments, check-ins, or patients who have been moved between providers.

Note: On weekdays between 7 a.m. and 6 p.m. Central Time, CarePilot fetches the schedule every 5–10 minutes. If you’ve just changed an appointment or if you don’t see a new appointment after check-in, manually using Refresh Schedule ensures that your view is fully up to date.

What "Refresh Schedule" Does

  • Retrieves Recent Changes Only: The system only brings in appointments that have been modified since the last sync.

  • Types of Changes: Common updates include newly scheduled appointments, check-ins, cancellations, or moves between providers.

  • Unchanged Appointments: If an appointment has not been edited recently, you will not see any update for it when refreshing your schedule.

How to Refresh Your Schedule

  • Locate the Refresh Button: In your Athena schedule view, find and click the Refresh Schedule button.

Tip: If you suspect an appointment was changed in Athena but don’t see it after refreshing, confirm that the appointment was indeed modified (e.g., a patient was checked in, rescheduled, or switched to a different provider). Unchanged appointments will not be re-synced.
