Rulesets

Q: Who can create rules in Rulesets, and where should I start?

A: Right now, rule creation is limited to admins, who can build organization-wide rules (like billing rules) and assign them to all users or a specific subset. Support for individual user rules—personal preferences for formatting, coding tendencies, and similar adjustments—is coming soon.

Q: Can we upload our fee schedule for the billing product?

A: This is on our short-term roadmap, planned for the next several weeks. We're waiting on an Athena enhancement to pull down fee schedules. We can't commit to an exact date, but it's a top priority based on customer feedback.


Amelia

Q: Will Amelia be able to review old scanned documents in Athena, such as imaging reports, lab reports, or specialty consults?

A: Not in the current version. Optical character recognition on scanned documents is planned but not yet available, as we want to ensure it works reliably. Over time, we'll add an images and documents section and give Amelia the ability to search and surface those documents.

Q: Can we use Charting Canvas, Amelia, and the longitudinal chart to pull info from a prior exam and add to it for a re-exam?

A: Yes—as long as the prior exam was done in CarePilot. Amelia can review the longitudinal chart, historical visits, and intake information to get you up to speed on a patient. It cannot pull from prior exams done directly in Athena.

Q: I fill out the same forms repeatedly (sports physicals, back-to-school). Can Amelia handle these?

A: Yes. Send your PDF forms to us through the support chat and ask for them to be added to the template library. We'll handle the setup for you. Once added, you can generate the form in CarePilot and download a completed PDF.


Charting Canvas

Q: With Charting Canvas, can you pause the recording, generate the note, and then resume the recording?

A: Yes. You can record iterative transcripts—record, pause, end, generate the note, then click "Add to Recording" to keep going. The note builds on itself over time, allowing you to pull forward prior information and stack transcripts together for a more natural workflow.


Longitudinal Chart

Q: Will the Charting Canvas capture updates to things like social history and family history during the encounter, and then push that to Athena?

A: Not yet from the ambient recording alone, but you can ask Amelia to make those updates. You can also edit the longitudinal chart manually on the left side of CarePilot and push updates back to Athena. Over time, our goal is for CarePilot to handle these updates directly from the ambient recording.


Intake Module

Q: Will the provider be able to see the information obtained during intake while completing the provider portion of the visit?

A: Yes. The intake button will appear to the left of the note, and you'll be able to view and interact with the intake information. You can also ask Amelia about it, and we're exploring ways to summarize intake into a quick "what do I need to know" overview before you walk into the room.

Q: When is intake data pushed to Athena—when the MA finishes intake, or when the provider completes their section?

A: Intake updates send when the nurse or MA clicks "Finish Intake," separate from the provider's encounter note. This means the MA can use CarePilot while the provider works in Athena, and the intake updates will be visible to the provider regardless.

Q: My nurse/MA takes an HPI during intake. Will it get sent to the Athena HPI, and how does it work with the provider HPI if they're also using CarePilot?

A: HPI editing isn't currently available in the intake module. Through May, we're rolling intake out to a small group of customers to learn how it's used before finalizing this workflow. We'll reach out to get you on the preview list so your feedback can shape how HPI is handled.
