Network Requirements

A stable internet connection is essential for CarePilot to function properly across all platforms. The application uploads audio in real-time during recording and requires consistent connectivity for transcription services.

Minimum Connection Speed

  • Download: 5 Mbps or faster

  • Upload: 2 Mbps or faster (3 Mbps recommended for optimal audio upload)

  • Latency: Less than 150ms for real-time transcription

Connection Type

  • Recommended: Wired Ethernet or stable Wi-Fi connection (5 GHz preferred)\

  • Mobile Data: 4G LTE or 5G connection (Wi-Fi recommended when available)

Network Considerations

  • Firewall/Proxy: Ensure your network allows WebSocket connections and HTTPS traffic to *.carepilot.com domains

  • VPN: If using a VPN, ensure it does not significantly increase latency or restrict WebSocket connections

  • Hospital/Clinic Networks: Contact your IT department to whitelist CarePilot domains if you experience connectivity issues

Email & Network Allowlist (Email/IP/Domain)

Some organizations restrict outbound email delivery and/or inbound access based on approved senders, domains, or IP ranges. If you experience issues receiving CarePilot emails (invites, password resets, notifications) or connecting from a restricted network, ask your IT team to add the items below to their allowlist.

Allow the following sender domain(s) and sender address(es):

  • Domains

    • carepilot.com (allow all addresses at this domain)

  • Specific addresses

If your email security tool supports it, allowlisting the domain is usually preferred over individual addresses.

Audio Quality Recommendations

For the best transcription accuracy, we recommend the following:

  • Microphone Placement: Position your device or external microphone within 3 feet of the conversation

  • Background Noise: Minimize background noise when possible. CarePilot works best in quiet environments

  • External Microphones: For desktop/laptop use, consider a dedicated USB microphone for improved audio quality

  • Headset Microphones: Headset microphones can provide consistent audio quality and reduce ambient noise pickup

Troubleshooting

Browser Issues

If you experience issues with the Chrome Extension or Web App:

  • Ensure your browser is updated to the latest version

  • Clear your browser cache and cookies

  • Disable conflicting browser extensions temporarily

  • Check that microphone permissions are granted in your browser settings

Mobile App Issues

If you experience issues with the mobile app:

  • Ensure your device meets the minimum OS requirements

  • Check that the app has microphone permissions in your device settings

  • Ensure you have sufficient storage space available

  • Try force-closing and reopening the app

Network Issues

If you see a network warning during recording:

  • Check your internet connection stability

  • Move closer to your Wi-Fi router if using wireless

  • Switch from mobile data to Wi-Fi if available

  • Contact your IT department if on a corporate network

If you continue to experience issues, please contact our support team through the in-app chat or email [email protected].
