Getting Set Up

Step 1: Download the CarePilot Chrome Extension

  1. Navigate to CarePilot on the Chrome Web Store.

  2. On the extension page, select Add to Chrome.

  3. Once installed, you’ll see the CarePilot Chrome extension icon appear in your extensions bar at the top of your browser.

Step 2: Pin the Extension

  1. Click the puzzle piece icon in your browser’s extensions bar.

  2. Find CarePilot in the list and click the pin icon next to it. (This ensures the extension remains visible and easy to access.)

Step 3: Log In

  1. Select the CarePilot Chrome extension icon. This will open the CarePilot side panel.

  2. When prompted, log in and enter your one-time code.

  3. Once authenticated, your CarePilot schedule will appear on the right side of your screen.

Recording Your Visit

Step 1: Open Your Telehealth Visit

⚠️ IMPORTANT: Before launching the CarePilot extension, ensure your telehealth platform is open and the correct visit is active.

Opening the extension prior to entering the visit may prevent CarePilot from detecting tab audio.

  1. Open your telehealth platform (whichever system hosts your telehealth visits).

  2. Click into the specific telehealth visit you’re ready to start (in your telehealth platform).

⚠️ IMPORTANT: If you are using athena telehealth follow the steps at the bottom of this article for Step 2.

Step 2: Open CarePilot

  1. Open the CarePilot chrome extension and get logged in.

  2. Click the telehealth visit from your CarePilot schedule.

Step 3: Start Recording

  1. Open the drop-down menu and select Start Telehealth Recording.

  2. You’ll see blue bars moving up and down — this indicates that CarePilot is capturing your audio.

Note: During the visit, you may not see the “audio visualizer” (blue bar) moving when the patient speaks. This is normal—CarePilot is still capturing both sides of the conversation, and transcription happens in the background.

Tip: You can always confirm both sides of the conversation were captured by reviewing the note transcript.

Pause or Resume Recording

  1. To pause the recording, click Pause.

  2. To add additional information later (after the telehealth session has ended), open the drop-down again and select Start Regular Recording. This mode captures only your audio, since there is no patient connected.

Step 4: Generate Your Note

  • Press End Recording when you are ready to generate your note.

  • Double check the transcript to ensure both sides were recorded.
